Criminal Records Bureau (CRB) Check Information
- ● The following new fields have been added:
- CRB Issue Date
CRB Expiry Date
CRB Reference
CRB Notes
● The CRB Check dates are displayed on the Employee Background Screen
● The CRB Expiry Date colour varies depending on the status of the expiry date:
- If the expiry date has passed then the date is displayed in red.
If the expiry date has less than a month remaining then the date is displayed in orange.
If the expiry date had longer than a month remaining then the date is displayed in the default colour.
● To amend the CRB Check information for an employee, select the "CRB" button on the Employee Background screen.
● The user must have Security Level "Edit" access for "Employee Background" to be able to amend the CRB Dates and details.
● New Report
"Employee - CRB Check"
- The new report displays the Employee Name, Department Name, CRB Reference Number, CRB Issue Date, CRB Expiry Date and any CRB Notes which have been entered.
If the CRB Expiry date has passed then the Expiry date is displayed in red on the report.
The report can be filtered by Employee, Department, and Location etc.
● Report Amendment
"Employee Details"
- THE CRB Check details have been added to the report as an option when compiling the report.
The user must have Security Level "View" access for "Employee Background" for the CRB Check Details to be displayed on the report.

"Employee Details Incomplete"
- The CRB Check details have been added to the report and will be highlighted if the details have not been completed.
The user must have Security Level "View" access for "Employee Background" for the CRB Check Details to be displayed on the report.
● Event Alerts
- The following Event Alerts have been added:
▪ CRB Check Expires
- This Event Alert has been configured to be triggered 28 days prior to the actual CRB Expiry Date.
This can be amended as required from the Event Alerts configuration screen.
The Event Alert has also been added to the Outlook Event Alerts and also as a multi-company Event Alert in the Bureau Version.
● Import and Export to and from Spreadsheet:
- The CRB Fields have been added to the import and export to and from spreadsheet function.
Each of the CRB fields can be configured to be imported and exported or bypassed as required from the Configure Import Fields on the Import/Export screens.
■ New Feature
- Absences Recorded in Hours
- ● Employee Absences can now be recorded in Days OR Hours.
- ▪ An employee can have absences recorded in either hours or days - not a mixture of both, but you may have employees recording absences in hours and others in days as required.
▪ If an employee has absences recorded in hours, then it is preferable to have them also linked to a work pattern. This helps when calculating absence hours and also gives further details to the planner report.
▪ If an employee is linked to a work pattern when adding, amending or converting absences in hours, the application utilises the work pattern to calculate the hours used.
▪ These calculated hours are completely amendable at the adding stage or at a later time through the employee absence screen.
▪ If the employee is not linked to a work pattern, default hours are used which may need to be amended manually.
▪ Converting Existing absence records from Days to Hours or from Hours to Days:
▪ On the employee Absence screen simply select the "Hours" or "Days" button toggle as required.
▪ This button will be unavailable if the selected employee has a current absence in progress.
▪ If the employee has existing absences in the absence history they will need to be converted to the new format.
▪ If you are converting from days to hours you can either:
▫ Convert each absence manually by entering the hours for each absence, or
▫ Convert all absences automatically using selected times entered at the conversion screen, or if the employee has been assigned to a work pattern, using the work pattern information.
▪ Each absence can then be amended manually for fine tuning on this screen or at any time later from the employee absence history screen.
▪ If you are converting from hours to days:
▫ Each absence must be converted individually.
▫ The application will estimate the number of days to record for each absence, but the user must verify each absence before saving.
▫ Each absence can then be amended manually for fine tuning on this screen or at any time later from the employee absence history screen.
▪ NOTE: The conversion process for that employee must be completed once any absence has been converted.
● Bradford Factor Amendments:
- Where absences are recorded in hours:
- ▪ Every absence still counts as a single occurrence but it is now possible to enter multiple absences for the same day.
▪ For instance, an Employee may have a single hour absence in the morning another mid-afternoon and a further one late-afternoon.
▫ This will count as three absence occurrences but only a single days absence.
This would give a Bradford Factor score of 9 (3 occurrences x 3 occurrences x 1 day absent)
● Report Amendments
- “Employee-History-Absence”
- ▪ Now also displays and totals absences in hours for employees whose absences are stored in hours.
- “Employee-History-Absence Totals”
- ▪ Now also displays and totals absences in hours for employees whose absences are stored in hours.
“Employee-Summary-Absence”
- ▪ Now displays two summary tables. One table for absences which have been recorded in days and another table for absences which have been recorded in hours.
“Employee Planner (Hourly)”
- ▪ If Absences are recorded in hours then they are displayed as the actual absence hours
■ New Feature
- ● If an employee has had any Typical (auto) Reminders set when creating the employee based on the Employee's Start Date and that Start Date is then amended at any time, the user has the option to automatically amend the Typical Reminders Next Due Dates to be based on the new Employee Start Date.

- ● Report: "Company – Benefits”
- When selecting this report, the user now also has the option whether to filter the report to only Include Benefits which are marked as "Still Held" by Employee.

- ● Bureau (multi-company) Edition - Event Alerts
- In the Bureau Edition it is now possible to limit event alerts being displayed to the company that the user is logging in to, rather than displaying event alerts for every company.
To set the event alerts to only display alerts for the company being logged in to:
- ▪ Main Menu, Application Preferences, Alert Configuration
▪ Check “Only Display Alerts for This Company”
▪ Note: this option is set on a per company basis so can be set as required for each individual company.
▪ Note: This option is only visible in the Bureau Edition.

- ● Viewing Update History Notes:
- The Update History notes are now saved in HTML for easier viewing and are now opened in the users default internet browser.

- ● Import / Export From / To Spreadsheet Field Configuration:
- Once this update has been applied, applying future updates will no longer reset the import/export to/from spreadsheet field configuration.

- “Passport Details” and “Length of Service” are no longer imported and exported when “Set all Fields to < Do Not Import/Export >” has been selected.

- Increased the amount of Managers (reports to) allowed in the drop-down menu on the Word form.

- When selecting to View or Print the report directly from the Employee Details screen, only sections which the user has Security Level access set to "View" for are now displayed on the report.

- The report now displays the whole employee note regardless of size. The report previously truncated the employee notes to two lines.

- ● When creating a new employee by importing Employee Details from an employee from, if the import fails because the form contains incompatible information, a blank employee record is no longer created.

- ● Fixed an issue when adding an employee holiday or training record to an employee who is currently absent:
- With certain date configurations a warning that the employee is currently absent during the dates you are adding the holiday/training for would be displayed even though the dates are outside the current absence dates.
